SaaS Database Storage Limits
Archer monitors your Archer Instance Database storage usage and issues warning messages when you are close to the limit and when you've reached the limit.
This database limit applies to the total database storage you have purchased across all your instances. If you're nearing or exceeding your limit, you can free up storage by deleting unnecessary records, archiving applications you no longer need, or adjusting the retention period in the History log field. To increase your database storage, contact your Archer account representative.
The Archer Administrator can check the current usage in the Storage section of the Admin Dashboard. "DBLicensedStorage" shows the total licensed database storage across all instances, while "DBStorageUtilized" displays the database storage used on a single instance.

When does Archer send DB storage usage messages?
UI Messages
-
At 100% and above usage: When a single Archer Instance Database reaches 100% utilization of their full purchased allocation, Archer displays a warning message on the UI to both the Archer Administrator and the end user, indicating that they are close to reaching the licensed database limit and that content saving may soon be disabled.
-
At 110% usage: : When a single Archer Instance Database reaches 110% utilization of their full purchased allocation, Archer displays an error message on the UI to both the Archer Administrator and the end user, indicating that the licensed database limit has been reached and content saving has been disabled.
Email Notifications
-
At 80% and more usage: When a single Archer Instance Database reaches 80% utilization of their full purchased allocation, Archer sends a Warning notification email to all users in the instance with the System Administrator role. This notification is sent once each day until the corrective action has been taken to bring the utilization under 80%.
-
At 100% usage: When a single instance DB on the SaaS License consumes 100% of the allocation, then an [Urgent] Warning message is sent every 4 hours.
What do I do if I receive a DB storage limit notification?
Reduce the storage consumption of the instance.
-
When the instance is consuming less than 110% the UI error message disappears.
-
When the instance is consuming less than 100% the UI warning message disappears.
-
When the instance is consuming less than 80% of the licensed allocation, email notifications stop.

How is the storage limit calculated?
Archer SaaS clients are offered a base storage of 50GB as part of the SaaS bundle purchase. If you require additional disk space for the database, you can purchase additional storage in tranches of 25GB each. This allocation is for the sum of instances of the SaaS License.
total licensed database storage = base storage (50 GB) + additional storage (25GB x quantity of additional storage units purchased)
For example, if a SaaS client purchases 5 units of additional storage, then their licensed database storage limit is calculated as: 50GB + (25GB x 5) = 175GB.
What are the SKUs for the storage types?
The SKUs for the storage types are defined in the following table.
| Storage type | SKU | Description |
|---|---|---|
| Archer SaaS Bundle | ARC-SAAS | Default SAAS SKU provides 50 GB space |
| SaaS Archer AddOn Storage 25 GB | SAAS-GRC-STORAGE-S | 25 GB add on Storage for Instance database |
