Configuring Advanced Workflow Actions by Email
Advanced Workflow Actions by Email enables you to complete certain advanced workflow actions by email. Using this feature, you can respond to a variety of records including assessments, findings, or exception requests. To enable Advanced Workflow Actions by Email, you must configure settings in your email, the Archer Control Panel, and in your Archer instance.

Task 1: Configure your email settings
The IMAP and POP3 protocols are disabled by most email providers. If you plan to use either the IMAP or POP3 protocols, ensure that the protocol is enabled in your email account prior to configuring settings in the Archer Control Panel.
Note: The following steps may vary depending on your email provider.
- To enable POP3, do the following:
- Go to your email settings.
- In the POP Download section, select Enable POP for all mail (even mail that's already been downloaded).
- To enable IMAP, do the following:
- Go to your email settings.
- In IMAP Access, select Enable IMAP.
Task 2: Configure the Archer Control Panel for Advanced Workflow Actions by Email

Open the Archer Control Panel.
- From the Instance Management list, double-click the instance.
- On the General tab, go to the Notifications section.
- In the Advanced Workflow Actions by Email Configuration section, select the Enable Advanced Workflow Actions by Email checkbox.
- Select the protocol that will monitor the configured email account.
Note: Archer currently supports the POP3, IMAP4, and Exchange protocols. The steps for configuring each protocol in the Archer Control Panel are very similar. Steps that are specific to a certain protocol are noted.
- Select the SSL Connection checkbox to ensure that the account is securely monitored.
- Enter the port number.
- Enter the mail server.
- Enter the user name and password.
- If you are configuring the Exchange protocol, enter a folder name.
- If you are configuring the IMAP protocol, enter the Mail Box Name.
- In the Monitoring Frequency field, enter a value to specify how frequently Archer should pull email from the configured account.
- Select the Retrieval Method if you want to remove or copy the email from the configured email account after the email is processed.
- Click Save.
Task 3: Configure Archer for Advanced Workflow Actions by Email
To fully enable Advanced Workflow Actions by Email, you must configure a user account to monitor the emails, and any relevant notification templates, applications, questionnaires, and advanced workflows. For more information, see the Archer Platform Help.
