System Reports

Archer has default system reports for the following features. You can export system reports into Microsoft Excel (.xlsx) format.

Access control reports

Access Control includes predefined reports.

Access these reports by selecting View Access Control Reports from the Access Control menu. Click Export Account Data to export read-only account data to a series of .CSV files, which are then compressed into a single .zip file.

The following table describes the Access Control reports.

Description

Access Control Rights by Role

Provides a summary of the access control rights associated with a given access role. A role is defined as a collection of access control rights that can be assigned to a unique group of users. You can filter this report by role, application, and page type.

Access Control Rights by User

Provides a summary of the access control rights currently assigned to a given user. For each page in Archer, you can view the create, read, update, and delete privileges of a user. You can filter this report by user, application, and page type.

Application Configuration and Content Administrators

Shows the users and groups who have been assigned as configuration and content administrators for individual applications or questionnaires. You can filter the list by application or questionnaire name.

Failed Login Attempts

Lists all failed login attempts within the past twenty-4 hours.

Locked Accounts

Lists all user accounts that are currently locked. The report also includes the time and date that each user account was locked.

Members by Group

Lists users by the user group to which the users belong. You can filter the list by user group.

Roles by Groups

Lists all groups with a corresponding description and the roles associated with each user group. You can filter this report by user group or role.

Roles by Solution

Provides a summary of the access control rights assigned to the applications in a solution. For each application, you can view all of the associated roles and the respective content access. You can view all roles associated with the create, read, update, or delete rights of a user for each application in Archer. You can filter this report by solution, application, or role.

Security Events

Lists events related to access control, PIN requests, and global report permissions for monitoring the security of Archer. You can filter the report by event type or by date range.

If the reports exceeds 40,000 records, a warning message is displayed. To modify the search parameters, click OK.

To export more than 40,000 records, use at least 2 consecutive time frames to export 40,000 records at a time, and then combine the exported records. For example, to export 50,000 records, export the first 40,000 records in one time frame, export the remaining 10,000 records from the next time frame, and combine the 2 sets of exported records.

Security Parameter Properties

Lists the properties of all security parameters that have been defined within the system. A security parameter specifies rules for password creation, password change enforcement, account-lockout duration, and session time-out behavior.

Sub-Form Configuration Administrators

Shows the users and groups who have been assigned as configuration administrators for individual sub-forms. You can filter the list by sub-form name.

User Accounts All

Provides an inventory of all existing user accounts. This report displays the last name, first name, user name, and account status for each user in Archer. You can filter the report by access role and account status.

If the report exceeds 40,000 records, a warning message is displayed. To modify the search parameters, click OK.

To determine the number of user accounts in Archer, from the menu, click Admin menu > Access Control > Users. The bottom right corner of the Manage Users page displays the number of user accounts in your instance.

To export a report with more than 40,000 users, do the following:

  1. Create at least 2 unique access roles.

  2. Assign a unique access role to each set of 40,000 users.

  3. Filter by the first access role and export the report with the first 40,000 users.

  4. Filter by the next access role and export the report with the next 40,000 users.

  5. Create a unique access role as needed and repeat steps b-d.

  6. Combine the exported reports.

For example, to export a report with 50,000 users, create access roles A and B. Assign access role A to the first 40,000 users and assign access role B to the remaining 10,000 users. Filter the users by access role A and export the report. Next, filter the users by access role B and export the report. Combine the 2 exported reports.

User Inactivity Log

Lists the users whose accounts have remained inactive for a specific period. You can filter the report by inactive date and last accessed date range.

Application reports

Access these reports by clicking Reports on the Manage Applications page.

Application Calculation Summary

Shows the configuration, including the formula, for each calculated field in the application.

Application Custom Object Summary

Lists the custom objects and their associated content in the application.

Application Data-Driven Events Summary

Lists the data driven events in the application, including the description, action type, and status.

Application Detail

Provides detailed information about each field in the application, including field ID, description, Help text, field help options, field type, control type, selected configuration options, access, and so on. It also contains notification and content review information.

Application Field Detail

Shows the configuration of each field within the application.

Application Notification Detail

Shows the notification templates associated with the application and the configuration for each, including the assigned users and groups.

Application Private Fields

Provides a summary of the access control rights for private fields in the application. It contains all private fields that give a user or group full access, cascade, or read-only privileges.

Application Record Permissions Summary

Shows the record permissions configurations in the application for manual selection (including rule name and description, if applicable), inherited permissions, and automatic selection.

Application Summary by Field Type

Lists all field types in the application. It includes a count of each field type and the total number of standard and calculated fields.

Application Values List Summary

Lists the values and configuration for each Values List field in the application.

Page Hits

Provides information about the number of times application pages have been accessed by different users during a given time frame. Pages are grouped in this report by application. The report shows the number of times each page has been accessed, and it also contains the total percentage of all page hits in the system and each application portion of that total.

Record View Detail

Provides details of the date and time users accessed a particular application record.

Record View Summary

Provides a summary of the content records that have been accessed by all users during a given time frame. It also shows the number of content records in each application and the number of times a record has been accessed in each application. In addition, the report contains the total percentage of all content hits in the system and each application portion of that total.

Notification reports

To access these from the menu, click Admin menu. Under Notifications, click View Notification Reports.

The following table describes the notification reports.

Notification Engine Recent Activity - Last 24 Hours

Provides the number of successful and failed notification email deliveries within the last 24 hours.

Notification Subscriptions

Provides the notification templates to which users have subscribed. The report displays the template, user name, recipient email address, notification type, and application for each notification.

Notifications Failed Email Attempts

Provides a list of notification emails that failed delivery. It lists the users whose mailbox the email attempted to reach, the email address of the recipient, the date and time of the last email attempt, and the total number of delivery failures.

Notification Return Receipts

Provides the status of emails triggered by notification templates that are configured to request read receipts. The report shows when each email was sent, whether the user who received each email responded to the read-receipt request, and the date and time of each response.

Notifications Sent

Provides a list of all notification emails that have been sent. It lists the email ID, the user who received the email, the email address of the recipient, and the From address for the email. The report also shows the notification template that triggered each email, the subject line of each email, and the date and time each email was sent.

Questionnaire reports

To access these reports click Reports for the questionnaire on the Manage Questionnaires page.

This report lists each question within a questionnaire, along with their attributes. For Values List questions, the report also shows each answer and its attributes.

Questionnaire Answer Distribution by Question

This report presents a bar chart indicating the answers for each Values List question and the distribution across all responses. You can filter the report by questionnaire, category, or question. You also can click the question to view the Questionnaire Results By Question Detail report, which contains information about each question.

Questionnaire Calculation Summary

This report shows the configuration, including the formula, for each calculated field within a questionnaire.

Questionnaire Compliance by Authoritative Source Chart

This report presents a bar chart of the compliance percentage for each authoritative source within 1 questionnaire or across questionnaires. You can filter the report by questionnaire. You also can click the category to view the Questionnaire Results by Authoritative Source report.

Questionnaire Compliance by Category Chart

This report presents a bar chart of the compliance percentage for each category within a questionnaire. You can filter the report by questionnaire. You can click the category to view the Questionnaire Results by Category report.

Questionnaire Compliance by Question Chart

This report presents a bar chart of the compliance percentage for each question within a questionnaire. You can filter the report by questionnaire or category. You also can click the category to view the Questionnaire Results by Question report.

Questionnaire Custom Object Summary

This report lists the custom objects and their associated content within a questionnaire.

Questionnaire Data Driven Events Summary

This report lists the data driven events within a questionnaire, including the description, action types, and status.

Questionnaire Detail

This report provides detailed information about each field within a questionnaire.

Questionnaire Field Detail

This report shows the configuration of each field within a questionnaire.

Questionnaire Notification Detail

This report shows the notification templates associated with a questionnaire and the configuration for each, including the assigned users and groups.

This report lists the results associated with each category within a questionnaire. You can filter the report by questionnaire or category. You also can click the category to view the Questionnaire Results by Question report.

Questionnaire Results by Question

This report lists the results associated with each question within a questionnaire. You can filter the report by questionnaire, category, or question. You also can click the question name to view the Questionnaire Results by Question Detail report, which contains more information about the question.

Questionnaire Score by Authoritative Source Chart

This report presents a bar chart of the score for each authoritative source within 1 questionnaire or across questionnaires. You can click the authoritative source to view the Questionnaire Results by Authoritative Source report.

Questionnaire Score by Category Chart

This report presents a bar chart of the score for each category within a questionnaire. You can filter the report by questionnaire. You also can click the category view the Questionnaire Results by Category report.

Questionnaire Summary by Field Type

This report lists all field types within a questionnaire. It includes a count of each field type and the calculated fields as well as the total number of standard and calculated fields.

Questionnaire Values List Summary

This report lists the values and configuration for each Values List field within a questionnaire.

Solution reports

To access these reports click Reports on the Manage Solutions page.

Important: To view the Solution Diagram reports, you must have a copy of Microsoft Office Visio installed on your computer.

Roles by Solution

Provides a summary of the access control rights assigned to the applications in the solution. For each application, you can view all of the associated roles and their respective content access. You can filter this report by solution, application or role.

Solution Diagram - All Fields

Produces a Visio diagram that contains the applications in a solution with all the fields listed. Arrows in the diagram represent cross-reference relationships among applications and fields, along with the following information for each application:

  • Application name
  • Application ID and GUID
  • Application status (Production, Development, and so on)
  • Number of records by data level
  • Names of the key fields
  • Names of all fields with their field type to understand the abbreviations used in the solution diagram.)
  • Names of all global Values List fields with the name of the global values list

Arrows in the diagram represent relationships among applications and questionnaires across solutions.

Solution Diagram - All Solutions

Shows the solutions contained in the system with their IDs and GUIDs, and a listing of all applications contained in each solution. Arrows in the diagram represent relationships among applications and questionnaires across solutions.

Solution Diagram - Application Relationships by Solution

Shows the solutions contained in the system with their IDs and GUIDs, and a listing of all applications contained in each solution. Arrows in the diagram represent cross-reference relationships among applications and questionnaires contained in the solutions.

Solution Diagram - Application Summary

Produces a Visio diagram that shows the solution name, instance name, and Platform version number, along with the following information for each application:

  • Application name
  • Application ID and GUID
  • Application status (Production, Development, and so on)
  • Number of records by data level

Arrows in the diagram represent cross-reference relationships among applications.

Solution Diagram - Field Statistics

Produces a Visio diagram that shows the solution name and Platform version number, along with the following information for each application:

  • Application name
  • Application ID and GUID
  • Application status (Production, Development, and so on)
  • Number of records by data level
  • Total number of fields
  • Number of fields by type (Date: 2, Numeric 3, and so on)

Arrows in the diagram represent cross-reference relationships among applications.

Solution Diagram - Relationship Fields

Produces a Visio diagram that shows the solution name, instance name, and Archer version number, along with the following information for each application:

  • Application name
  • Application ID and GUID
  • Application status (Production, Development, and so on)
  • Number of records by data level
  • Names of the key fields
  • Names of all relationship fields (Cross-Reference, Related Records, and Cross-Application Status Tracking) with their field type to understand the abbreviations used in the solution diagram.)
  • Names of all global Values List fields with the name of the global values list

Arrows in the diagram represent cross-reference relationships among applications.

Solution Diagram - System Solution Summary

Shows the solutions contained in the system with the solution IDs and GUIDs. Arrows in the diagram show the relationships among applications and questionnaires across solutions.

Solution Summary

Provides a listing of applications and questionnaires in the solution and their descriptions. For leveled applications, the level names and descriptions also are listed.

Sub-Form reports

A Sub-Form Detail Report is available for each sub-form in Archer. To access these reports click Reports on the Manage Sub-Forms page.

For each field within the sub-form, the following general information is provided:

  • Field Name
  • Field ID
  • Field Type
  • Status
  • Description
  • Display Control
  • Field Permissions

Unlicensed Dependency report

The Unlicensed Dependency Report displays a list of objects within Archer that have dependencies on use cases that are not currently licensed and therefore may not work as expected. There is no other indication of these dependencies in the Archer user interface apart from this report. System administrators can use the report to find and remediate each object.

To access this report, on the Report Listing page, in the Solution: Administration section, click Unlicensed Dependency.

The following table identifies each type of object in the report and describes what action you should take to resolve the issue.

Calculated Fields

Contain dependencies on applications or questionnaires. If you do not need a field, you can deactivate it or remove it. Otherwise, you should review each field individually and modify the calculation formula to remove the dependency.

Note: A check mark in the Calc Ref column indicates that at least 1 calculation field within Archer references this field.

Data Driven Event Rules

Govern data driven events in Archer. A condition that evaluates an unlicensed object is not visible in the user interface, but the object is still being evaluated. Re-save each data driven event rule to remove the hidden condition and resolve the issue.

Record Permissions Fields

Contain dependencies on applications or questionnaires. Re-save each field to resolve the issue.

Note: A check mark in the RP Ref column indicates that at least 1 record permissions field within Archer references this field.

Advanced Workflow Rules

Drive Advanced Workflow Evaluate Content nodes in Archer. A condition that evaluates an unlicensed rule is not visible in the user interface, but the rule is still being evaluated. Re-save each Advanced Workflow rule to remove the hidden condition and resolve the issue.
