Managing Sub-Forms

The Manage Sub-Forms page is your starting point for all sub-form tasks. You can view existing, create new, change the status of, copy, and delete sub-forms.

Change the status of a sub-form

When a sub-form is no longer needed but you do not want to delete it, you can change the sub-form status from active to inactive.

  1. From the menu, click Admin menu > Application Builder > Applications, and select your sub-form.
  2. In the Status field, select active or inactive.
  3. The following table describes each status.

    Status

    Description

    Active

    Users can enter data in sub-forms with Active status. Active sub-forms can be displayed in an application.

    Inactive

    Inactive sub-forms cannot be displayed in an application. If a sub-form that is already embedded in an application is inactive, the field that displays the sub-form is also inactive. When a sub-form status is set to Inactive, data stored in a sub-form is hidden from view until the sub-form and the corresponding sub-form field are reactivated.

Copy a sub-form

When you copy a sub-form, your new sub-form contains all of the fields and structural components of the copied sub-form, but it does not include any attachment files or sub-form entries.

  1. From the menu, click Admin menu > Application Builder > Applications.
  2. In the Actions column of the sub-form to copy, click Elipsis, and select Copy.

    Note: If you are on an existing sub-form, you can also select Copy Current from the Application Navigation Bar.

  3. Review each section, and make changes if necessary.

Delete a sub-form

If you have delete permissions for the Manage Applications page, you can delete sub-forms for which you have ownership rights.

Important: When a sub-form is deleted, all data within that sub-form is permanently lost. Deleted sub-forms cannot be recovered.

You cannot delete sub-forms with dependencies on other sub-forms. If you attempt to delete a sub-form with dependencies, a warning appears listing all the dependent sub-forms and corresponding fields.

  1. From the menu, click Admin menu > Application Builder > Applications.
  2. In the Actions column of the sub-form you want to delete, click Delete .
  3. Click OK.
