Reassigning User Resources
Archer enables a system administrator to reassign resources from 1 user to another. For example, you may need to reassign resources if an employee's role changes or if an employee leaves the company.
Resources for a specific user often affect multiple records. The User Reassignment functionality identifies all resources for a user.
Consider the following before using the User Reassignment feature:
- Only users with system administrator rights can perform a user reassignment.
- User resources include any content in applications and questionnaires that has direct reference to specific users. For example, a user may be the owner, creator, or reviewer of a record, and the record may generate multiple notifications. Carefully consider the users to whom you want to reassign resources.
- System administrators cannot reassign their own resources to another user.
- If you have initiated a reassignment for a specific target user, you must wait until the process has completed before initiating another reassignment to the same target user. Multiple reassignments can be in progress at the same time as long as they do not target the same user.
- If the record you are reassigning is configured to send notification emails, you can select an option that prevents the sending of emails after the reassignment is complete.
- You cannot reassign user resources to groups.
- Some users you select for reassignment may not be available for a specific record. In this case, you can update the record to make the user available, and then perform the reassignment.
- The Bulk User Reassignment system does not display Inherited Permissions fields, Automatic Record Permissions, or Manual Permissions fields with Rules. These are all data-driven calculated fields.
Reassign an Archer user

Go to the Manage Users page.
- From the menu, click the Administration menu.
- Under Access Control, click Users.
- In the Manage Users list, find the name of the source user whose resources you want to reassign, and then do 1 of the following:
- In the Actions column, click

- Click the name of the user to display the profile details, and then click
.
- In the Actions column, click
- In the User Information section, confirm that you have selected the correct source user for reassigning.
- In Reassignment Users, click
, select 1 or more target users, and then click OK.
- In Notifications, do 1 of the following:
- Select Send if you want Archer to send notification emails for all notification-configured records that are reassigned.
- Select Do Not Send if you want to prevent Archer from sending notification emails for reassigned records.
- On the Applications and Questionnaires tabs, select the resources you want to reassign in the Reassign column.
- In the New User column, specify a target user to whom you are reassigning each selected resource.
- Click OK.
