Managing Applications
The Applications page is your starting point for all application tasks. You can view existing, create new, copy, and delete applications.

Copy an application
- From the menu, click
> Application Builder > Applications.
- In the Actions column of the application to copy, click
, and select Copy.
Note: If you are on an existing application, you can also select Copy Current from the Application Navigation Bar.
- Review each section and make changes if necessary.
Delete an application
If you have delete permissions on the Manage Applications page, you can delete applications for which you have ownership rights.
Important: When an application is deleted, all data within that application is permanently lost. Deleted applications cannot be recovered.
You cannot delete application with dependencies on other applications. If you attempt to delete an application with dependencies, a warning appears listing all the dependent applications and corresponding fields.
- From the menu, click
> Application Builder > Applications.
- In the Actions column of the application you want to delete, click
, and click Delete.
- Review the warning and confirm.
Delete all content from an application
Note: You can only delete the content of retired applications.
- From the menu, click
> Application Builder > Applications.
- Open the application.
- In the Status field, select Retired.
- In the Delete Application Content field, click Delete Content.
- Click
to save your changes.
Change the application status
The application status allows you to:
- Create an application for test purposes.
- Archive an application so that data can no longer be entered.
- Hide an application when it is no longer used.
- Use an application to collect active data for your business.
- From the menu, click
> Application Builder > Applications.
- Open the application.
- In the Status field, select the application status.
Application status options
The following table describes the options you can set for an application status. Status
Description
Production
Sets the application so that users can enter "live" data for your business environment. Use this status for applications that allow users and systems to interact with actual business data in your production environment. These applications display an unlimited number of records, can be referenced using cross-reference and cross-application status tracking fields, and users can run searches in these applications and save those searches as named reports. Applications in production status require an available ODA license.
Development
Sets the application so that administrators can develop, configure, and test it without impacting the production environment. Use this status when you want to create and experiment with an application before using it in production. Development applications should not contain live data. A development application has all of the characteristics of a production application, but all records in the application are displayed with a watermark. Development applications do not require ODA licenses.
Note: 90 days after you create a development application, the status of the application and any related questionnaires automatically changes to archived. The time remaining before the status change appears in the user interface.
Archived
Sets the application so that content is read-only and users can continue to search and display the application content. Use this status when the application no longer requires the creation of new content, the ability to edit existing content, or the need to delete content. Do not use this status for applications that are used periodically (for example: annual or quarterly business processes). The Add, Edit, and Delete options are deactivated, along with the Data Import feature. End users can continue to select records in an archived application through cross-reference fields in production applications. However, archived applications do not recalculate calculated fields and record permissions. Archived applications do not require ODA licenses.
Important: For SaaS and Next Generation Experience only, reference fields that point to an archived application no longer support lookup of existing records
Retired
Sets the application so that it is hidden from users. Use this status when the application is no longer "live" or in use, but your organization wants to keep the business data stored in the application. Users cannot create or edit records, and cannot run searches or view reports saved in the application during production.
If you retire an application that an administrator has referenced in another application cross-reference or cross-application status tracking field, that field is also retired.
If you retire an application that contains a recalculation schedule, the recalculation schedule is deleted and cannot be restored.
Configuration administrators can continue to modify retired applications, assign access rights for retired applications, and create notification templates for retired applications.
Data feeds and questionnaires associated with the retired application continue to use system resources. Prior to retiring an application, it is recommended that you deactivate all data feeds that target retired applications. Retired applications to not require ODA licenses.
Important: After your organization reaches its application limit as specified by your license, you cannot create additional production applications. You can however still create development applications.
